WildCookham respects your privacy and is committed to protecting your personal data.
Important information and who we are
This privacy notice explains how WildCookham collects, processes and stores personal data. It should be read together with any other privacy or fair processing notice we may provide on specific occasions when collecting or processing personal data, so that you are fully aware of how and why we are using your information.
The data we collect about you
WildCookham collects a limited range of personal data relating to members and supporters. This may include names, postal addresses, email addresses, telephone numbers, areas of interest or specialism, membership payment records and permissions given under data protection legislation.
Where members set up a standing order to pay subscriptions, bank details are retained only until the first payment has been received. Data for children who become junior members is limited to their names, addresses and the responsible adult to whom correspondence is addressed.
Legitimate interests
WildCookham has determined that it has a legitimate reason for collecting, processing and storing personal data relating to its members. Data is collected through paper or online membership forms and used for matters such as administering subscriptions, collecting Gift Aid, providing annual reports and issuing tickets for events.
How we use your personal data
We use personal data only where the law allows us to do so. Common uses include contacting you about Association matters, administering your membership or support, and meeting legal or regulatory obligations.
You have the right to withdraw consent to marketing at any time by contacting us. If a member does not wish WildCookham to hold their personal data, we may not be able to provide the relevant services because we would have no way of contacting that individual.
Your rights
Alongside the right to be forgotten, you may request a copy of the data we hold about you and ask for inaccuracies to be corrected. If you are not satisfied with how we handle your data, you may complain to the Information Commissioner's Office at ico.org.uk or by telephone on 0303 123 1113. We would, however, appreciate the chance to deal with your concerns first, so please contact us in the first instance.
How we secure your data
WildCookham does not provide personal data to third parties without the explicit consent of the individual involved. Officers holding personal data ensure that it is stored securely and protected with backed-up data.
In the unlikely event of a data breach, the officer concerned will report it to the Committee, which will take appropriate action. Any officer leaving their post must pass all personal data they hold to the person taking over from them and must not retain copies.
How long we retain your data
If a member leaves, their contact details are stored for a maximum of seven years in case they later return.
